Integrating WorxHub with your K4Community system streamlines maintenance request processes, enhances communication between residents and staff, and ensures real-time visibility into work order status. This article outlines the key benefits, integration requirements, and implementation steps for successfully enabling the integration.

Key Benefits

  • Centralized Resident Access: Residents can submit work order requests and stay updated with their work order status within the K4Community Plus app, simplifying the request process.

  • Real-Time Updates: Status changes in WorxHub, such as “In Progress,” “On Hold,” “Cancelled,” “Rejected,” or “Completed” automatically notify residents via status cards in the What's New feed of their app.

  • Transparent Communication: Any completion notes added in WorxHub are visible to the resident, enhancing communication and satisfaction.

  • Seamless Workflow for Staff: Maintenance teams continue using their established processes within WorxHub, without needing to adopt a new system.

Requirements

  • An Active WorxHub Account: Your account must be configured for integrations. We can help you determine that.

  • WorxHub Site Name: Required for proper connection.

  • Enablement Date: A mutually agreed-upon date to activate the integration.

Implementation

  1. System Setup:

    • K4Connect configures your integration.

    • A new “Requests” section and “Work Order Request Form” card are added to your K4Community Plus app instance.

  2. Resident Submission:

    • Once live, residents submit maintenance requests using the new form within the K4Community Plus app.

  3. Request Routing:

    • Submitted work orders are sent directly to your WorxHub system for processing by your maintenance team.

  4. Status Tracking:

    • Status updates (e.g., In Progress, On Hold) in WorxHub are pushed to residents via the app.

    • Completion notes entered by staff in WorxHub are displayed in the app’s status card view
