How to manage the Resident Directory using Team Hub

This aritcle outlines the steps for managing resident information in the Team Hub, including moving residents in, moving them between rooms, and moving them out of the community.

 

All resident moves create a ticket for K4Connect Support to complete the back-end associations and other configurations to complete the move. These requests are usually handled within 48 hours. See our Resident Room Move Service Level Agreement (SLA) for details on how quantity of move requests affects our SLA. 

Access the Resident Directory

  • Under Users, click on Residents to view the resident directory.

Adding a New Resident

  • In the Action menu select New Resident
  • Fill in the resident's information:
    • Email
    • Preferred prefix, first name, middle name, last name
    • Preferred name (if applicable)
    • Maiden name (if applicable)
    • Contact information (phone number, address)
    • Directory settings (birthdate, profile image)
    • Location (building, floor, room number)
    • Biography (searchable in K4Community Plus app Directory)
  • Opt-out options for directory visibility (if applicable).
  • Assign groups and roles as necessary.

 

Moving a Resident to a New Room

  • Locate and click on the resident in the directory
  • In the Action menu click on the Room Move icon.
  • Select 'Change Location'.
  • Fill in the following details:
    • Reason for moving
    • Planned move date
    • Current room name
    • New room name
    • Moving notes (if any)
    • Additional comments for K4 support (if necessary).
  • Click 'OK' to submit the move request.

 

Moving a Resident Out of the Community

  • Locate and click on the resident in the Directory
  • In the Action menu click on the Room Move icon.
  • Select 'Move Out'.
  • Fill in the following details:
    • Reason for moving out
    • Planned move-out date
    • Moving notes (if any)
    • Additional comments (if necessary).
  • Do not select a new room name.
  • Click 'OK' to submit the move-out request.

Cautionary Notes

  • Ensure all resident information is accurate before submitting any changes.
  • Be aware that each move request triggers manual actions on the backend, so allow time for processing.

Tips for Efficiency

  • Keep a checklist of required information for new residents to streamline the process.
  • Regularly update resident information to maintain an accurate directory.
