Microsoft Exchange for Event Management Integration: Requirements and Implementation Guide

Key Benefits

• Event data created on connected Microsoft Exchange shared calendar(s) is automatically imported into K4Community, eliminating double entry and keeping schedules in sync.

• Resident sign-ups captured in K4Community flow back to Exchange and appear as invitees who have accepted the invitation—so staff can keep using Exchange while seeing real attendance responses.

• Clear division of duties: Exchange remains the source for event creation, while TeamHub continues to manage details Exchange doesn’t support (e.g., attendee limits or event cost fields).

Requirements

• An active company account with Microsoft 365.

• Complete the K4Connect-provided steps to grant permissions and gather the credentials K4Connect needs.

• Create one or more shared calendars in Exchange and provide the calendar names to the K4Connect Integrations team.

• Begin entering your community’s events on those shared calendars so they can be synchronized.

Implementation

• Kickoff & Planning: K4Connect schedules a call to review the integration approach, exchange credentials securely, and set the enablement date. 

• Configuration & Mapping: K4Connect configures the Exchange integration, mapping the appropriate fields.

• Enablement & Sync: On the agreed date, K4Connect enables the integration and performs the initial sync from your Exchange shared calendar(s) into K4Community.

• Post-enablement: Events created in Exchange will appear in K4Community, and sign-ups in K4Community will be reflected back in Exchange. Any fields such as cost information or signup limits will be managed by the community in Team Hub Event Manager.
