Microsoft Teams Integration: Requirements and Implementation Guide

Integrating Microsoft Teams with K4Community enables seamless communication between residents and community staff via a designated Teams channel. This article outlines the key benefits, requirements, and implementation steps necessary for a successful integration.

Key Benefits

  • Real-Time Resident-to-Staff Messaging: Residents can send real-time messages to the “Community Staff” channel from their K4Community Plus app.

  • Staff Collaboration: Messages are routed to a selected Teams channel where any team member with access to that channel can respond.

  • Bidirectional Communication: Staff responses in Teams are automatically sent back to the initiating resident, streamlining communication.

  • Centralized Messaging Hub: Reduces communication fragmentation allowing all staff members to see historical communications with residents.

 

Requirements

  • Teams Channel: Create a new Microsoft Teams channel specifically for staff-resident communication.

  • K4Community Bot: Obtain and install the bot.zip file provided by K4Connect.

  • Enablement Date: Agree upon a go-live date for enabling the integration with the K4Connect team.

 

Implementation

  1. Upload the Bot

    • Open Teams and navigate to Apps.

    • Click Manage Apps, then Actions > Upload new app.

    • Upload the provided bot.zip file provided by K4Connect.

  2. Add the Bot to a Team

    • In Apps, search for “K4Community”.

    • Click Add, then choose Add to a Team.

    • Select the appropriate team/channel that you have designated.

    • Click Set up a bot.

  3. Configure the Bot

    • Start a new message in the selected channel.

    • Type @K4Community show config.

    • The bot will reply with the Channel ID, Team ID, and Tenant ID.

  4. Share Configuration detail with K4

    • Send the configuration details to us and we will configure your integration.

  5. Enablement

    • Once enabled by K4Connect, resident messages will flow into the designated Teams channel.

    • Staff replies will be routed back to residents automatically.
